What to write on it

  • Which job, and for which client? It ties a reference purchase or a proofread to the income.
  • Where is the proofreader? A US contractor needs a W-9 and a 1099-NEC at $2,000; one abroad gives you a W-8BEN instead.
  • Is this for work you do now? Courses and exams count when they keep up or improve the translation you already do.

Travel as a form of education isn’t deductible, even when it helps the work.
Novels and films in your languages
Reading and watching for pleasure is personal, even when it keeps your ear in. Reference works you translate with aren’t.
A long trip abroad with personal days
A trip outside the US that mixes in vacation may have to be split between business and personal.

Questions translators ask

What can a translator write off?

CAT tools, dictionaries, proofreaders, certification exams and association dues, conference travel, payment fees, a home office and the business share of your internet.

Is a translation certification exam tax deductible?

If you already work as a translator, yes, as education in the work you already do. Education that qualifies you for a new line of work isn’t.

Can translators write off travel abroad?

Travel to a client, a conference or a course is business travel if the trip is mainly for the business, and a trip abroad with personal days may have to be split. A trip to immerse yourself in a language is travel as a form of education, which isn’t deductible.

Do I send a 1099 to a proofreader overseas?

Generally not. A contractor who isn’t a US person and works outside the US gives you a Form W-8BEN instead of a W-9, and no 1099-NEC is filed.
